Freewheel turns a bike hire into a day of small adventures. This policy explains what data the app touches, where it lives, and what we will never do with it. The short version: your adventures live on your phone, your location is used only to find places near you, and we don't sell data or run advertising.
Freewheel is operated by Motion Story (motionstory.com.au), based in Australia. For anything in this policy, contact dan@freewheeltours.com.
The app is local-first. Your trails (routes, stops, stats), the photos you take at check-ins, your category preferences, settings, and passport stamps are stored on your device. They are not uploaded anywhere unless you sign in for backup or explicitly share something.
You can use every core feature as a guest — no account required. Signing in backs your trails and preferences up to your account so you can restore them on a new phone. Account data is stored with our backend provider (Supabase) and is not shared publicly unless you share it.
Location is used only while the app is open, for exactly two things: finding destinations near you and detecting when you arrive at a stop. Your location is never sold, never used for advertising, and no location history is transmitted to us or to any shop.
Photos you take at stops stay inside your trails on your device until you delete them. When you export or share a trail card, the image goes only where you send it.
If you arrived via a rental shop's QR code or link, that shop's branding appears in the app and on your trail cards. The sponsoring shop receives anonymous usage counts only — numbers of spins, rides and shares. Never your identity, your location history, or your photos.
Before your first spin the app asks you to accept a ride waiver. We keep a record of that acceptance (waiver version, date, and a random device identifier) so we can show you what you agreed to and when. It contains no location and no photos.
If you arrived through a bike shop's QR code or link, the waiver screen also asks for your name, and that name is stored on the record and shared with that shop, so the business that hired you a bike has a record of who accepted the terms. Only that shop can read it. If you came to Freewheel on your own, you are never asked for a name and none is stored.
A shop can also ask you to sign its waiver on a web page of its own, at a link it gives you before your ride, with no app and no account. That page asks for your name, an email address or phone number so the shop can reach you, an emergency contact, whether an adult is signing (and a guardian's name if not), a signature typed or drawn, and any further questions that shop chose to add. The answers are stored with the record and shared only with that shop, which keeps them as its own hire paperwork. The record contains no location and no photos.
You can delete your account and all associated data at any time from Profile → Delete account & data inside the app. Data stored only on your device is removed when you delete the app. You can also email dan@freewheeltours.com and we'll handle it for you.
If this policy changes materially we'll update the effective date above and note the change in the app. Continued use after a change means the updated policy applies.
